PRivacy STATEMENT & CANCELLATION POLICY MEB SCIENCE DAY

We, Hyphen Projects located in Hilversum at Veerstraat 37 1211 HJ, Chamber of Commerce registration number 32110979, have drawn up this privacy statement to explain how we collect and use personal data if you register for the MEB Science Day 2025 (together hereinafter in singular: "event").

We encourage you to read this privacy statement carefully to understand how we use your personal data. If you have any complaints or questions after reading this statement, please contact Hyphen Projects via info@hyphenprojects.nl.

What types of personal data do we use and how do we do that?

Registration information

We collect the following personal data that you provide when you register for the event: first name, last name, job title, organization name, e-mail address and dietary restriction. We ask your permission to process this personal data. The purpose of processing your personal data is to organize and offer the Event. Your personal data will not be used for other purposes.

Who has access to your personal data?

Access to your personal data is limited to employees who need personal data for the above purposes. We may also share your personal data with third parties who process data on our behalf (processors). In such cases, these third parties may only use your personal data for the purposes described above and only in accordance with our instructions. Finally, we may share your personal data with, for example, government authorities on the basis of the law or a court order.

How long do we store your personal data?

We keep your personal data for a limited time and we will delete your personal data when it is no longer necessary for the above purposes. We will delete your registration data within 12 weeks after the event. If you have indicated that you would like to be kept informed of the future meetings organised by MEB, your data will first be transferred to the MEB.

What measures do we take to protect your personal data?

We have taken appropriate technical and organizational measures to protect your personal data against accidental or unlawful processing by ensuring that:

· Your personal data is protected against unauthorized access or modification; 

· The confidentiality of your personal data is guaranteed; 

· The availability of your personal data is maintained; 

· Suppliers have received instructions on how to protect your personal data; 

· Our employees are trained to handle your personal data in a secure manner; and

 · Data breaches will be reported in accordance with applicable law.

What rights can you exercise with regard to your personal data?

You can request access to, rectification, deletion or restriction of the personal data you have provided to us. You can also object to our use of your personal data or withdraw your consent if we process your personal data based on consent. In addition, you can request a copy of your personal data with a view to transferring it to another company (data portability).

For any request, please send an email to info@hyphenprojects.nl if you wish to exercise any of your rights. We will respond to your request in accordance with applicable law.

You can also contact our Data Protection Officer regarding privacy at info@hyphenprojects.nl or file a complaint with the Dutch Data Protection Authority if you believe that there has been a breach of applicable data protection legislation.

Cancellation policy

The MEB Science Day is free of charge for all participants. Because seats are limited we ask you to unsubscribe in case you are not able to attend via the unsubscribe link in your confirmation e-mail. You can unsubscribe for free until Monday 12 May 11.00 AM. If you cancel after 12 May or do not show up at the congress, the MEB is allowed to charge a fee of EUR 50,-.

You will not be charged if a colleague or someone else takes your place. So please notify us of your replacement in a timely manner by e-mail (science@cbg-meb.nl), but not later than Monday 12 May, 11.00 AM.
